Special Collections Photocopying Policy

Special Collections may provide a limited number of reference copies in the form of watermarked PDFs to researchers. Requests for copies may be placed in person at the Library during your appointment or through the Library’s Research and Duplication Services.

 

1.  Limit of 200 pages

Patrons are limited to 200 pages of photocopying from Special Collections per calendar year. Individuals accompanying researchers but not conducting independent research are not entitled to Special Collections photocopying.

2.  Not all materials may be photocopied

Requests for copying of Special Collections holdings will be considered only when the duplication can be done without injury to the material and when it is within Library policy, and in accordance with donor agreements and copyright restrictions. For example, screenplays may not be photocopied, but other script-related items, such as outlines, treatments, and script notes, may be copied on a limited basis. Keep in mind that the archivists and desk staff are trying to protect the material and may on occasion decide that certain items are too fragile to photocopy.

3.  Cost and time frame

Special Collections copying is done by a staff member and may take up to four weeks to be completed, depending on the amount requested. Copies cost $1.00 per page. For students with valid I.D. the cost is .50 cents per page. Reference copies are supplied as watermarked PDFs and sent via Dropbox. Upon request, photocopies may be ordered at $1.25 per 8.5 x 11-inch page and $2.00 per page for oversized items. Because of high demand and the need for special handling, Special Collections copying cannot be completed on a rush basis.

4.  Photocopies are for research use only

Copies of unpublished manuscripts material made by the Special Collections Department are for research use only and will be sent as watermarked PDFs. Photocopies will be printed on paper designed to prevent unauthorized reproduction or publication. Publication-quality copies or digital reproductions of unpublished manuscripts material will be provided only if the request is accompanied by a letter from the copyright holder(s) granting you permission to publish the item being requested.

5.   Research and Duplication Services

In certain instances, copies of Special Collections material will be made available to researchers through the Research and Duplication Services.
