Whether you are leaving for the semester or moving on to your next adventure, we here in Housing are sorry to see you go! Please check out the sections below for helpful information to make your transition as smooth as possible.

Spring check-out deadlines:
Students are encouraged to move-out 24hours after their last final, as construction, parking, and commencement will cause congestion on campus Thursday-Friday. Residents are required to move-out no later than:

  • Friday, May 3, 2024, by noon: All residents

  • Sunday, May 5, 2024, by noon: Graduating residents

All students have been assigned a check-out deadline for either May 3 and noon, or May 5 at noon (graduating students). If you are planning to check-out at any other time, before your deadline or need to request an extension past your deadline, please follow these instructions by April 27. Students do not need to request an extension for any time prior to May 3 at noon (non-graduating) or May 5 at noon (graduating).

Check your email and your My Housing portal for instructions for preparing your room, check-out, and other details. 

Moving Bin Check-Out

Bins will be available to residents to check out to assist with move-out. More details for bin pickup will be available in late Spring. 

Residents should return their bin to the same location as quickly as possible to allow others to use it – we cannot guarantee bins will be available if they are not returned promptly.

Residents should turn in their key at the area office, during business hours, or at bin check-out during the times listed below. If you need to check-out of your current residence after hours, please contact the RA on duty to assist with your checkout.

Transition to Summer Housing

For the most part, residents will transition to their summer room on Friday, May 10. Check your email for details.

  • Check in to your new assignment by visiting the Area Office for your spring room to pick up your new keys. (Be sure to bring your BuzzCard or valid photo ID.)  
  • Check out of your current assignment by returning your fall assignment keys to your Area Office.  
  • We will have bins to assist on this day.

Checkout Process

All students living in an apartment will complete the Apartment Checkout process. All residents living in traditional or suite-style housing will complete a Traditional Checkout. 

Apartment Checkout

Apartment Checkout allows residents to complete a pre-departure inspection before finals week and deliver their room key(s) by the check-out deadline at their Area Office. 

Pre-Departure Inspection and Checkout
  1. Make your pre-departure inspection appointment with your RA (late November). You will receive your Apartment Checkout envelope at the complete of a successful pre-departure inspection with your RA.
  2. Return your key to your area office before your check-out deadline (24 hours after your last final exam or noon on the Friday of finals week). All Apartment Checkout envelopes must be delivered to the area office during open office hours, which are adjusted for the week of move-out. 
Traditional Checkout

In a traditional checkout, residents go through a day-of-departure inspection with their RA during finals week, when all their belongings have been removed and they are ready to turn in their key. 

Day-of-Departure Inspection and Checkout
  1. Make your day-of-departure inspection appointment with your RA (finals week, within 24 hours of your departure). 
  2. Return your key to your RA at the conclusion of your inspection, before your checkout deadline. 

While all residents are assigned the final move-out deadline, students are required to check-out 24 hours after their last final exam. We ask that you login to My Housing and update your move-out time to your planned departure date and time. 

Extensions

If a resident is in need of a check-out extension, they should submit a request through the extension request form at My Housing when selecting their move-out time.

Inspection Process

Prepare your room for the checkout inspection using the checklists below.

At the time of your scheduled inspection all of your personal belongings must be removed from your room, all trash removed, everything off the walls, etc. Charges will be assessed based on the condition of the room at the time of the inspection.

Failure to meet the scheduled checkout time or appointment will result in a $100.00 minimum late checkout fee with an additional $50.00 per hour not to exceed $250.00. If you fail to check out officially according to these checkout documents, an improper checkout charge will be assessed to your student account. This will be in addition to any damage charges for which you may be responsible.

Damages

Residents are responsible for the condition of their room/shared spaces and items. Residents are culpable for the associated costs to repair or replace them.

Trash

All trash and unwanted personal items must be removed from the building. To maintain the appearance of the residence halls, do not leave trash in stairwells, outside courtyards or in the smaller trash receptacles near the entry doors.

Leaving trash in or around the buildings will result in monetary fines. Dumpsters are made available all over campus. Please check with your student staff member for exact locations.

Common Areas

Common areas in the apartments will be inspected and damages assessed after resident departure. If you have questions or concerns about the condition of common areas, please address these with the staff member who conducts the inspection.

TRADITIONAL & SUITE CLEANING CHECKLIST:

Rooms
  • Clean windows and mirrors using a glass cleaner 
  • Wipe down all surfaces - all-purpose cleaners are recommended for window ledges, laminated furniture and desktops, cabinets, etc. For wood furniture Pledge or Endust are recommended
  • Sweep and clean floors with a damp mop - all-purpose cleaners may be helpful for spills, food stains, adhesives, etc.
  • A vacuum can be checked out through your student staff member.
  • Be sure drawers and closets are empty and all contact paper and shelf liners are removed - wipe down the interior of drawers and closets
  • Clean walls (especially tape marks and areas by light switches and door knobs)
  • Wipe dust from mini blinds and be sure that mini blinds are hung properly
  • Wipe down the surface of the air conditioning unit
  • Check to see that screens are securely in place
  • Be sure all furniture is assembled and properly arranged in the room. All furniture must be returned to the same configuration it was in when you initially moved into your room.
  • Remove all personal items, personal furniture, rugs, hangers, etc.
  • Bag all trash and take it to the nearest dumpster outside the building
  • Close and lock windows and all doors
  • Watch out for “common area” theft and report it to your community advisor.
Bathroom
  • Remove all personal belongings from cabinets, drawers, etc.
  • Wipe down counters, cabinets and drawers with an all-purpose cleaner
  • Clean mirrors with a glass cleaner
  • Clean sink & faucets with an all-purpose cleaner
  • Clean the interior of the toilet with a toilet cleaner
  • Wipe down the toilet seat, lid and bowl exterior with an all-purpose cleaner
  • Sweep the floor and clean it with an all-purpose cleaner

 

APARTMENT CLEANING CHECKLIST

Kitchen
  • Remove all items from cabinets, refrigerator and freezer
  • Clean all cabinets (interior and exterior) with an all-purpose cleaner
  • Clean the microwave, refrigerator, freezer and dishwasher (interiors and exteriors) with an all-purpose cleaner
  • Thoroughly clean oven/stove:
    • remove the stove burners and drip pans
    • lift the stove top and clean underneath with an all-purpose cleaner
    • wipe down the stove surface and oven exterior with an all-purpose cleaner
  • Mop the tile floor with a floor cleaner
  • Wipe down walls, use all-purpose cleaner if needed

 

 

Carpets
  • Vacuum all carpeted areas
  • For heavily soiled carpets use a commercial service to clean
Upholstered Furniture
  • Remove any debris from areas between/under cushions
  • If the upholstery is heavily soiled or stained use a commercial furniture cleaning service
Bedroom and Living Room
  • Remove all personal belongings from furniture
  • Clean table tops, desk tops, desk/dresser drawers with all-purpose cleaner
  • Wipe down exterior of wood furniture with Pledge or Endust
  • Clean windows & mirrors with a glass cleaner
  • Wipe down walls to remove any smudges, marks, etc.
  • Wipe down window ledges with all-purpose cleaner
  • Wipe dust from mini blinds and be sure mini blinds are hung properly
  • Make sure all furniture is present, assembled and properly arranged.
Bathroom
  • Remove all personal belongings from cabinets, drawers, etc.
  • Wipe down counters, cabinets and drawers with an all-purpose cleaner
  • Clean mirrors with a glass cleaner
  • Clean sink & faucets with an all-purpose cleaner
  • Clean the interior of the toilet with a toilet cleaner
  • Clean toilet seat, lid and bowl exterior with an all-purpose cleaner

 

Donation

Looking to put your reusable items to good use instead of the dumpster before moving out? In addition to your local non-profits, there are several places on campus that can accept your donations.

Storage

Check the link below to see a list of storage companies is provided as a courtesy to Georgia Tech students’ since GT Housing does not offer any storage. Georgia Tech is not a party to any storage facility agreements and is not a partner, agent, employee, independent contractor, or subcontractor for any company or leaser providing storage.

Storage Options

Bicycle Removal

All students in Georgia Tech Housing will need to secure bikes during any break period. 

Any bikes left in residence hall bike rooms & racks will be deemed abandoned. When you leave for summer, we strongly encourage you to take your bike with you if possible. If you remain on campus during the break, store your bike in your room just to be safe and avoid the possibility of theft. Learn more about abandoned bike removal here.

Official Check Out According to Your Contract

Excerpt IX, B. OFFICIAL CHECK OUT - A Student is not officially checked out of the residence hall/apartment until all of the following occur:

(1) The Student has removed all personal property from the premises (property deemed abandoned in the sole discretion of Georgia Institute of Technology Housing will be discarded at the expense of the Student);

(2) the room/apartment has been cleaned by the Student; and

(3) the proper check out records and keys have been returned to Georgia Institute of Technology’s Housing Staff.

Failure to meet the above will result in extra charges and a “Hold” placed on the students account and will remain in force until all terms and conditions of this Contract are met.

Fees

When residents fail to prepare their room or check out properly and on-time, it causes more work for our custodial, maintenance, and administrative teams that can impact the experience for the next resident in your room. Residents should be aware of the fees that can be incurred so they can avoid them: 

  • Failure to check-out by the indicated deadline will result in a $100.00 minimum late checkout fee with an additional $50.00 per hour not to exceed $250.00. 

  • Failure to properly check-out will result in a fee of $150 

  • Additional cleaning or damage fees may also be assessed if your room requires significant attention from our teams.  

  • If you are granted an extension to your move-out deadline, there will be a $50/night fee assessed for each night beyond your original deadline.
